10 Questions to Ask Before Renting a Photo Booth

Renting a photo booth seems straightforward, until it isn't. The industry has grown quickly, which means there's a wide range of companies out there offering wildly different levels of quality, service, and professionalism.

Whether you're planning a wedding, corporate event, or milestone celebration, asking the right questions upfront can save you a lot of stress and disappointment. Here are the 10 questions we recommend asking every photo booth vendor before you sign anything.

1. What's included in your package?

This is the most important question to ask, and to get in writing. Some vendors quote a low base price and then charge separately for prints, props, backdrop, attendant, and setup and teardown. A clear package outline tells you exactly what you're paying for and what you're not.

At Digital Memories, we're upfront about everything that's included so there are no surprises on the day.

2. Will there be a live attendant at the booth?

Some vendors drop off equipment and leave. Others provide a dedicated attendant who manages the experience, assists guests, troubleshoots issues, and keeps the energy up throughout your event. There's a significant difference between the two. Always clarify.

3. How long does setup take, and when do you arrive?

A photo booth that isn't ready when guests arrive is a missed opportunity. Ask when the vendor plans to arrive, how long setup takes, and whether setup time is included in your rental hours or counted separately.

4. What happens if there's a technical issue during the event?

Equipment can malfunction. What matters is how the vendor responds when it does. Ask whether they carry backup equipment, whether their attendant is trained to troubleshoot on-site, and what their policy is if the booth goes down for an extended period.

5. Can I see examples of your print quality and photo output?

Photos from a good photo booth should look polished, properly lit, sharp, and well-composed. Ask to see recent examples, including examples from similar venues and lighting conditions to yours. If they can't show you examples, that tells you something.

6. Do you offer custom branding or overlays?

If you're hosting a corporate event or want your wedding details on every print, you'll want a vendor who offers custom graphic overlays. Your names, date, logo, or hashtag printed on every photo. Ask whether this is included or an add-on, and whether you can preview and approve the design in advance.

7. What are your backdrop options?

The backdrop is a major part of how your photos look. Ask what options are available and whether they can accommodate a custom or themed backdrop. If you have a specific aesthetic in mind, share it early and see whether the vendor can match it.

8. How do guests receive their photos?

Instant print, digital share via email or QR code, or both? For corporate events, you might want digital-only with data capture. For weddings, printed keepsakes tend to go over really well. Make sure the delivery method fits your event goals.

9. What are your cancellation and rescheduling policies?

Life happens. Ask what the vendor's policy is if you need to reschedule or cancel, especially for outdoor or weather-dependent events. A reputable vendor will have a clear, fair policy in writing.

10. Are you insured?

This one matters more than people think. Many venues require vendors to carry liability insurance. Ask for proof of insurance before booking. Any professional operation will have it ready to share.

A Final Note

The best photo booth companies are easy to communicate with, transparent about pricing, and genuinely excited about your event. If a vendor is vague, slow to respond, or reluctant to put things in writing, pay attention to those signals.
